Queued Orders

The Queued Orders feature is useful when your lab uses the SimplePhoto Lab Bridge for automated fulfillment and you want orders to be held until sent to the lab in one large batch per school. By default, orders are sent to your lab as soon as they are placed by the customers. Follow the steps outlined below to have orders held for a school folder and then send all held orders at one time to your lab.

Note: The queued orders feature only applies when order data is sent to a lab.

Turn on the Queued Orders feature

Note: When a price list has the Queue Orders option enabled, customers will only be able to place one order per gallery. If you use the Authorize.net payment gateway to process orders, we recommend considering setting up SimplePhoto's Save Payment Information feature to make the checkout process easier for parents ordering for siblings.

  1. Click on the Price List Settings link on the SimplePhoto Dashboard (under the Settings pane).
  2. Scroll to the Queued Orders Settings and click the checkbox next to the Enable Queued Orders feature. 
  3. Check Don't queue orders with shipping if you would like to give customers an option to bypass the queue when they select a specific shipping option, like Ship to Home. See our Shipping Options help file for more info. 
    1. Need to override a direct shipping cost? Let our support team know and we can set up your queued order settings so that orders with a shipping cost of $X or more will bypass the queue. 
  4. Check Exclude $0 orders from batch if you need $0 orders to bypass the queue and be submitted automatically once the order is placed. A $0 order may be a yearbook pose-only order, for example.
  5. The Old Queued Order Notification Email is a setting that allows you to be alerted when a queued order is more than a month old. This is helpful to ensure no orders are left in queued, waiting to be submitted. By default, this is set to enabled. 
  6. Once all desired settings are in place, scroll to the bottom and click Save Changes.

Set price lists to 'Queue Orders'

Click on the Price Lists tab and click the Edit button next to the desired price list. Near the bottom of the Price List Settings screen, you will see a field labeled Order Data Timing / Job Type (BETA).  Select the Queue Orders option and click the Update button.

By default, price lists are set to Send Orders Immediately, which will cause orders to be sent to the lab immediately after the customer finalizes an order, and these orders will not be held for batch processing. If the Queue Orders option is selected in the Order Data Timing field, orders will not be sent immediately, and instead, they will be held until the Send New Orders to Lab button is used to send orders to the lab for the school folder. 

Submitting a batch order to the lab

  • Click on the Galleries tab and navigate to the folder for the desired school.
  • Click the Folder Control Panel button.
  • Click the View Queued Orders button.
  • Click the Order Utilities button.
  • Complete the shipping information fields (if applicable for your lab)
  • Click the Send New Orders to Lab button.

You will then see the following message and links: 

Orders sent successfully

If you want future orders for this folder to be queued, no change is necessary.

If you would like future orders for this folder to be sent immediately to the lab:
* Click Here to turn off order queuing for the [folder name] folder.
--or--
* Click Here to edit the [folder name] folder and change the price list associated to all galleries

If necessary, choose the appropriate link to either turn off order queuing for the folder or change the price list associated with all galleries in the folder.

When queued orders are sent to the lab in a single batch order, an email notification is sent to the lab to notify them that a batch order has been submitted.

When the  Send New Orders to Lab button is clicked, only orders that have not been previously sent to the lab will be included in the new batch order. If your lab has directed you to include orders that have already been sent to the lab, use the Send All Orders to Lab button.

View details about batch orders placed within the last year by clicking Reports at the top of your SimplePhoto dashboard and then click Batch Order History.
