PhotoLynx Flow - Gallery Uploading

If you have not set up the SimplePhoto-Flow integration, please see our guide to set up the integration.

If you upload multiple PLIC projects, you may see the last project you uploaded in the PLIC upload screen. If this occurs, click the Refresh PLIC Info button.

Flow subject fields

Currently, the following subject fields in Flow are used by SimplePhoto when generating new galleries:

  • Ticket Code - The "Ticket Code" is used as the gallery password.
  • Email - Email address used for sending gallery notification text messages. You can enable gallery notification emails and storage of these email addresses in the "Email Marketing Settings" settings screen in the "Marketing" tab of the SimplePhoto Photographer Control Panel.
  • Home Phone - Phone number used for sending gallery notification text messages. See our Text Message Notification Settings help file for more information.
  • First Name and Last Name - By default, the student's first and last name will be combined to form the "private gallery name" for each gallery uploaded.

Upload a new Flow project to SimplePhoto

Follow these steps to upload a Flow project to SimplePhoto:

  1. Open the desired project in Flow.
  2. Click the PLIC icon in the upper right-hand corner.
  3. Click the Select PLIC Organization button. Choose the desired organization or choose the Add New Org option. Click the Next button on the right.
  4. Click the Upload Subjects and Images button.
  5. Optional step - Verify that images have been uploaded with the proper file type, rotation, and crop. Before you click the Publish Gallery button to create galleries in SimplePhoto, we recommend that you access the project using the https://www.plic.io website and verify that the subject images appear as expected. One easy way to do this is after you have uploaded the images to PLIC, click the project name in the PLIC screen inside Flow. This will open your web browser to the project page on the plic.io website. There you can click on Subjects and inspect the images uploaded to PLIC. If the expected crops or image file types do not appear... they also will not appear as expected in the SimplePhoto galleries if you click the Publish Gallery button in Flow.
  6. After the PLIC upload process is complete, you should see SimplePhoto as an e-commerce provider in the section labeled "Publish Ecommerce/Online Gallery". If you do not see SimplePhoto as an option, please contact PhotoLynx support. If SimplePhoto appears as the e-commerce provider, click the Publish Gallery button.

Check the first projects you upload in the SimplePhoto Photographer Control Panel to verify that the projects are uploaded as expected and the proper price list is associated.

How SimplePhoto folders are generated when Flow projects are uploaded

By default, a new top-level folder is created in SimplePhoto for ever Flow project uploaded. If you would prefer to have SimplePhoto generated folders with the organization's name (typically the school name), access the Integration Settings screen on the SimplePhoto Dashboard and enable the Flow/PLIC organization folders option. When a Flow project upload occurs, SimplePhoto will check to see if a folder already exists with the school name (the "organization" name). If the school folder already exists, the new project folder will be added to the existing school folder. Otherwise, a new top-level school folder will be created and the project folder will be added as a sub-folder.

Upload new subjects and images to SimplePhoto for Flow projects previously uploaded

When new subjects are added to an existing project that has already been uploaded to SimplePhoto through Flow, the new subject galleries will be uploaded when you upload the subjects using the PLIC sync feature in the Flow project. Follow these instructions to upload new subjects and/or images:

  • Navigate to the desired project in Flow.
  • Click on the PLIC button.
  • If you don’t see the expected Flow project, click the Refresh PLIC Info button.
  • In the “Upload Subjects and Images” section, you should see that the “Subjects To Upload” and “Images To Upload” reflect the changes made to the project.
  • Click the Upload Subjects and Images button.

The new galleries and/or images should now be in place in SimplePhoto. If SimplePhoto galleries are not created as expected, please contact SimplePhoto support at support@simplephoto.com.

Price list assignment for new galleries uploaded using Flow

When a new Flow project is imported, SimplePhoto will attempt to find an existing price list that corresponds to the Flow studio catalog or PLIC order form.

  • If the SimplePhoto price list does not already exist, a new empty price list will be created and all necessary lab products contained in the order form will be added. Your studio will need to work with the SimplePhoto support team to finish creation of the new price list.
  • If the SimplePhoto price list already exists, SimplePhoto will assign the existing price list to the newly created galleries. 

Uploading email addresses and phone numbers with Flow projects

Gallery notification emails and text messages can be sent if email addresses or phone numbers are included when a project is uploaded using Flow. Email addresses should be uploaded in a subject field named "Email". Mobile phone numbers should be uploaded in a subject field named "Home Phone".
